eKFS Go-Live: October 12!
Target Audience: KFS Users
With countless hours by our users and admin teams through testing and providing feedback, we are finally ready to go-live with the Kuali Cloud (eKFS) system! Conversion activities have begun and we will complete our final data validations and functional verification for the go-live on Monday, October 12, 2026. At this point, KFS is shut down and no longer available for users since all of the data is transferring into eKFS.
Latest announcements will be emailed to the KFS-USERS and 糖心视频FO-L listservs. For now, please mark your calendar to attend any of the eKFS Live Q&A sessions that will be available daily from October 12 through October 16, with morning and afternoon options.
10:00 – 11:00amIf you have any questions, please contact the Fiscal Services Office at fissrv@hawaii.edu.
KFS Pending Documents: Auto-Disapproved
Target Audience: Fiscal Administrators
The KFS Pending Documents as of September 30, 2026, have been auto-disapproved for the eKFS cutover. A report of the disapproved eDocs can be found in your FOxxx folder in PageCenterX, with an additional email from FSO for documents that could not map to your FOxxx folder.
If you have any questions, please contact the Fiscal Services Office at fissrv@hawaii.edu.
eKFS Conversion 鈥 Office of Procurement Management (OPM)
Target Audience: Fiscal Administrators
As of September 30, 2026, there were a total of 221 purchase orders and purchase order amendments in KFS that were awaiting central procurement approval, and they have been auto-disapproved for the eKFS cutover.
Please do not recreate any of these purchase orders or purchase order amendments when eKFS goes live on October 12, 2026.
OPM will take the lead in recreating these documents in eKFS and will notify and work directly with the affected departments to transition these purchase orders and purchase order amendments to eKFS.
If you have any questions, please contact the Office of Procurement Management at opm@hawaii.edu.
eKFS 鈥 User Guides and Communication
Target Audience: KFS Users
As we prepare for the eKFS system, please familiarize yourself with our updated user guides, training videos and other available resources on our Fiscal Services Training page. A list that compares any differences between the two systems was created for your reference as well, which will be a live document with any new changes/notes added. Please bookmark the page. An eKFS Communications page was also created to list all announcements and updates leading up to the eKFS go-live. Please note that 糖心视频 login will be required to access these resources for security purposes.
If you have any questions, please contact the Fiscal Services Office at fissrv@hawaii.edu.
eKFS 鈥 When Users Leave the Department or University
Target Audience: Fiscal Administrators
When a user with roles in eKFS, PageCenterX, and/or JasperReports Server transfers to a different department within the University OR leaves the University, please ensure that their roles are removed and that they are not listed as an approver (i.e., Account Supervisor or Fiscal Administrator of an account, Fund Manager or Project Director of an Award). This causes issues with documents in eKFS and negatively impacts the workflow. All users listed as an approver must be an active employee.
If you have any questions, please contact the Fiscal Services Office at fissrv@hawaii.edu.
