Similar to vacation leave, eligible full-time employees earn 21 working days or 168 hours of sick leave per calendar year, which may be accumulated and carried over from one year to the next.

Sick leave may be taken for the employee’s medical, dental, optical, and optometrical examination appointments which the employee cannot schedule for non-work time. Under the Hawai’i Family Leave Law (HFLL), sick leave may be used to care for a family member with a serious health condition if you qualify for family and medical leave.

Each calendar year, employees who meet eligibility criteria are eligible for unpaid job-protected leave for qualifying serious health conditions for themselves or a family member.

Under the federal Family and Medical Leave Act (FMLA), University employees may be eligible for up to 12 weeks of unpaid, job-protected leave during a calendar year.

Under the state Hawaiʻi Family Leave Law (HFLL), employees may be eligible for up to 4 weeks of unpaid, job-protected leave during the calendar year.

If an employee qualifies for family leave under both HFLL and FMLA, the family leave will run concurrently.  For example, if an employee qualifies for family leave to care for his/her spouse with a serious health condition, the family leave will run concurrently under both HFLL and FMLA for 4 weeks and an additional 8 weeks under FMLA – a maximum of 12 weeks of family leave.

Employees may substitute paid leave (i.e. sick, vacation, compensatory time) for FMLA and/or HFLL unpaid leave, depending on the qualifying reason.

For HFLL, the employee must maintain a minimum of least 15 days of accrued sick leave required under the State’s self-insured Temporary Disability Benefits Plan.

The purpose of the program is to ease the financial burden of employees who have exhausted their paid leave and would otherwise need to take unpaid time off to:

  • Recover from a serious personal illness or injury or
  • To care for a family member who is incapable of self care due to a serious personal injury or illness.

Maximum (combined cumulative total an employee can request)

11-month Employee 9-month Employee
To recover from a personal illness or injury 240 days 180 days
To care for a family member 120 days 90 days

 

The University’s leave sharing program allows employees to donate unused vacation leave to fellow University employees recovering from a serious illness or injury or caring for an immediate family member with a serious illness or injury. Leave donations may be made to the central leave bank or to a specific individual who meets the eligibility requirements, applied for and received approval of their Leave Share Request.

Employees who are not eligible to earn vacation leave may donate unused sick leave credits. Employees may be eligible to give and receive donated leave credits within the University
